    This enhanced checklist is your step-by-step guide to designing, leading, and following through on meetings that matter. Use it to move from messy to mission-driven and to transform your facilitation impact from functional to phenomenal.

    BEFORE the Meeting: Design for Success

    • Have you defined the desired outcome (decision, alignment, action)?
    • Is there a clear link between this meeting and your organizational mission?
    • Have you clarified what success looks like at the end of this meeting?
    • Are the right voices in the room — decision-makers, influencers, implementers?
    • Have you defined each person’s role (Lead, Support, Decide, Inform)?
    • Does your agenda follow a process model (opening, exploration, closure)?
    • Have participants received materials or reflection prompts in advance?
    • Are you set with tools — timer, visuals, or tech platforms?
    • Have you created psychological safety and set engagement expectations?

    DURING the Meeting: Facilitate Like a Pro

    • Open with a clear purpose statement: “The purpose of this meeting is to…”
    • Establish group norms and a collaborative mindset.
    • Use an energizer or connection activity to build trust.
    • Follow brain-friendly sequencing — engage first, decide second, act third.
    • Keep time and energy visible throughout the meeting.
    • Surface all voices — use round-robins, chat drops, or ‘one-minute shares.’
    • Name and navigate dysfunctions early (use your Meeting Detox cues).
    • Capture agreements and clarify Who / What / When in real time.
    • Pause to confirm shared understanding before moving on.

    AFTER the Meeting: Move the Mission

    • Send a concise recap within 24 hours — outcomes, ownership, and deadlines.
    • Check alignment with broader initiatives and budget implications.
    • Acknowledge wins and effort to reinforce trust and momentum.
    • Calculate meeting ROI using time × talent × traction.
    • Ask: “Did this meeting move the mission, money, or mindset?”
    • Track lessons for facilitation improvement and celebrate progress.
